The short answer
In September 2026, Australian dealers publish office printer lease rates from about $40 a month ex GST for a small A4 mono printer to $250 to $400 a month ex GST for an A3 colour multifunction device on a 36 to 60 month term. Most business leases are all-inclusive: the monthly figure covers the machine, toner, parts and on-site service, and you pay separately for paper and, on many contracts, a cost per page. Three sources, three framings. LeaseMyPrinter quotes all-inclusive bundles, with toner and service inside the number. CopierChoice quotes the device with standard service and gives the outright purchase price beside each band: $950 to $1,400 for an entry A4 MFD, $7,000 to $10,000 for a high-volume A3 MFD. Copyworld quotes the device and support and adds an agreed cost per page on top. The same machine can sit in an $80 row on one page and a $220 row on another because of what is bundled. Ask what the monthly figure includes before you compare two quotes.
What moves the monthly figure
- Term. 36, 48 or 60 months. A longer term lowers the monthly figure and raises the total paid.
- What is bundled. Toner and service inside the number, or a cost per page on top of a lower device rate. This is the part of a lease that varies most between dealers.
- Volume allowance. Pages included each month, and the rate for pages over the allowance.
- Speed and format. A4 against A3, mono against colour, 20 pages a minute against 50.
- Finishing. Stapling, hole punching, booklet makers and extra paper decks.
- End of term. Return, buy-out or upgrade terms, and the notice period. Some contracts renew automatically for a further 12 months if written notice is not given about 90 days before the end date.
How Australian businesses buy printers
CopierChoice's 2025 benchmark estimates about 68,000 commercial A4 multifunction devices and 48,000 commercial A3 devices sold in Australia a year. It puts 62% of business purchases on a lease or rental and 38% bought outright, and most businesses on a three to five year replacement cycle.
Why the brand's own site rarely shows a number
Manufacturers such as Toshiba, Canon, Ricoh, Kyocera and Konica Minolta sell through authorised dealers and price on request. Under Australian competition law a supplier may recommend a price but may not set or enforce the price a dealer advertises. So the published number is always the dealer's own. That is why the pages that answer "how much does it cost" belong to dealers and lease companies, and why two dealers for the same brand can publish different figures.
How to get a real number
- Pick the device class from the table and note the published range.
- Ask two or three authorised dealers in your city for a dated written quote for the same model, term and monthly volume, and ask each one what the figure includes.
- Compare the total over the term, not the monthly figure, and check the notice period at the end.
